Job summary

A healthcare services company in Singapore is seeking an Administrative Coordinator to manage lab deliveries, maintain stock accuracy, and ensure excellent customer service. This role requires strong organizational skills, proficiency in Microsoft Office, and a proactive attitude to support operational efficiency. Experience in logistics or healthcare is preferred.

Qualifications

Job Duties & Responsiblities

- Coordinate with courier services to ensure timely and accurate delivery of lab orders.

- Track and record all income and outgoing lab deliveries ensuring proper documentation and handling

- Maintain accurate records of invoices, lab delivery orders, and other relevant documents,

- Generate invoices for orders ensure timely processing and payment.

- Generate daily and monthly reports for management review, providing insights into delivery performance , stock levels, and other key metrics.

- Assist in managing stock takes to ensure accuracy and availablity of inventory.

- Respond to customer enquiries in a timely and professional manner , providing assistance or directing enquiries to the approriate person

- Gather customer feedback to identify areas for improvement and ensure high levels of satisafaction.

- Work collaboratively with other team members to support overall business objectives.

- Anticipate production team needs and prompt them on pending deadlines to ensure smooth operations.

Requirements
  • Diploma or equivalent qualification in Business Administration, Logistics, or related field.
  • Minimum 1–2 years of experience in administrative, logistics, or coordination roles (experience in healthcare or dental industry is an advantage).
  • Strong organizational skills with attention to detail and accuracy.
  • Proficient in Microsoft Office (Excel, Word) and familiar with basic data reporting.
  • Good communication and interpersonal skills.
  • Ability to multitask, prioritize, and work independently in a fast-paced environment.
  • Customer-oriented with a proactive attitude and problem-solving mindset.
