Job summary

Russell Tobin is seeking a CX Event Operations Specialist for our Singapore office to drive onsite events and community activations. This contractor role partners with the CX team to deliver flawless event experiences from planning to post-event wrap and supports procurement of event services.

You will manage end-to-end event logistics, work with cross-functional partners, maintain calendars, collect data, and assist with spend tracking and supplier onboarding across multiple sites as needed.

Qualifications

• 4+ years of experience in event operations, event production, or a similar role in a fast-paced corporate or agency environment
• BA/BS in Events Management, Communications, Business, or a related field
• Experience managing multiple events simultaneously from planning through execution
• Experience coordinating with cross-functional teams and external suppliers
• Strong organizational skills with the ability to manage competing priorities and tight deadlines
• Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals

Responsibilities

• Event Execution (80% of time): manage end-to-end operational delivery of onsite events including venues, suppliers, AV, catering, signage, and day-of-show execution
• Coordinate with cross-functional partners to ensure seamless event delivery and maintain local events calendar
• Gather attendee feedback and post-event retrospectives and surface learnings
• Maintain run-of-show templates and process guides for repeatable formats
• Support supplier relationships for event services, including briefs, quotes and on-the-day delivery
• Procurement Support (20% of time): manage procurement for event suppliers, onboarding vendors, PRs, TPAs and purchase orders
• Process PRs to reduce holds and impact payment cycles
• Communicate with suppliers on PO queries and troubleshoot procurement issues
• Support budget tracking and reconciliation for event spend
