Customer Service & Reception Coordinator
We are seeking a warm, responsible, and proactive Customer Service & Reception Coordinator to join our team at a family‑oriented learning and activity centre. You will play an important role in supporting parents, children, and the operation team to ensure a clean, safe, and enjoyable environment for everyone.
This position is ideal for someone who enjoys interacting with children, values teamwork, and takes pride in maintaining high service and cleanliness standards.
Key Responsibilities
- Welcome and assist walk‑in customers, parents, and children in a friendly, professional manner.
- Handle inquiries via phone, WhatsApp, e‑mail, or in person, providing accurate information on class schedules, programmes, and promotions.
- Support registration, class bookings, attendance tracking, and payment processing.
- Maintain an organised, tidy, and welcoming reception area at all times.
- Guide parents and children to the correct waiting or activity areas and ensure they follow safety rules.
- Assist young children in preparing for their sessions — e.g., helping them wear swim caps and goggles.
- Monitor children’s safety in dry zones (reception, waiting, reading corner) before and after classes.
- Communicate effectively and patiently with parents regarding class timing, rescheduling, or feedback.
- Ensure the cleanliness and hygiene of key areas including reception, children’s reading/play corner, shower rooms, and changing areas.
- Restock basic amenities (tissues, toiletries, towels) and report maintenance or safety issues promptly.
- Assist with simple housekeeping tasks to maintain a pleasant environment for both customers and staff.
- Support instructors and the operations team during peak hours or events.
- Handle daily attendance and transaction reports.
- Manage and update customer records in the system accurately.
- Prepare simple reports or summaries for management when required.
- Support ad‑hoc duties related to customer service and operations.
Requirements
- Minimum O Level or equivalent qualification.
- Prior experience in customer service, reception, or hospitality is preferred.
- Enjoys working with children and families; patient and attentive.
- Cheerful personality, with strong communication and interpersonal skills.
- Responsible, well‑organised, and willing to handle both administrative and hands‑on tasks.
- Basic computer literacy (MS Office, Google Sheets, or similar).
- Able to work on weekends or shifts as rostered.
- Mandarin‑speaking preferred to liaise with Mandarin‑speaking customers; Malay proficiency is a plus.
