Customer Service Executive - Projects

The Customer Service Executive plays a key role in coordinating lighting project sales and ensuring customer satisfaction. The position supports the project sales team in achieving sales, profit, and KPI targets for the designated industry sub-cluster, in line with the company’s objectives. The incumbent works closely with customers, suppliers, and internal departments to ensure smooth project execution, timely delivery, and cost control. Additional responsibilities include assisting with accounts receivable follow-up, conducting sourcing activities, and managing delivery arrangements to meet customer requirements.

1. Order Processing & Coordination
  • Acknowledge and process customer orders with accuracy and efficiency.
  • Prepare and issue sales orders with correct purchase order details, pricing, and terms.
  • Raise purchase requests for project-related items and services.
  • Provide customers with accurate delivery timelines and status updates.
  • Arrange for sample orders and submissions to clients or consultants for approval.
  • Coordinate delivery logistics, including special packing, and labelling requirements.
  • Process and release invoices daily, ensuring alignment with purchase orders and billing accuracy.
  • Support the sales team in tracking project costs to maintain projected profitability.
2. Order Fulfilment & Monitoring
  • Monitor outstanding orders and follow up proactively to ensure timely fulfillment.
  • Use the ERP system to track order and delivery status.
  • Liaise with suppliers and internal departments to address order or supply chain issues promptly.
3. Customer Relationship Management
  • Build and sustain strong customer relationships through regular communication and engagement.
  • Follow up on inquiries professionally and promptly.
  • Manage and resolve complaints related to product quality, delivery performance, and service standards.
  • Escalate unresolved issues to appropriate stakeholders while ensuring timely closure and customer satisfaction.
  • Oversee goods return and credit note processes to ensure accurate and timely order closure.
4. Sourcing & Vendor Management
  • Source and evaluate quotations from multiple suppliers to meet project requirements.
  • Prepare purchase requisitions and purchase orders in line with company procedures.
  • Collaborate with vendors to secure competitive pricing, quality products, and on-time deliveries.
Requirements
  • Diploma in any field and a candidate from Electrical, Electronic, Mechatronics Engineering, or a related discipline with engineering knowledge will be added advantage.
  • Strong customer service skills with the ability to handle diverse client needs.
  • Passionate about delivering excellent service and building long-term relationships.
  • Good communication and negotiation skills to achieve positive outcomes.
  • Able to explain product or technical details clearly to customers.
  • Proficient in Microsoft Office, Google Workspace, and ERP systems for tracking stock, delivery, and orders.
  • Experienced in order processing, fulfilment, delivery, invoicing, and returns.
  • Skilled in handling customer complaints quickly and professionally.
  • Familiar with sales, purchasing, logistics, and administrative processes.
  • Good knowledge of company products, market trends, and sustainability practices.
  • Experienced in working with suppliers, vendors, and brand partners.
  • Professional, positive, and a good team player with a collaborative spirit.
  • Able to work effectively with both internal and external stakeholders.
  • Customer-focused with a sense of urgency, flexibility, and dedication to providing quality service.
