REPs Academy is a SkillsFuture Singapore (SSG) Approved Training Provider specialising in Generative AI, Sales Excellence, and Professional Development programmes for Sales Professionals, Financial Advisors, Entrepreneurs, and Corporate Teams. As we expand our portfolio of WSQ and non-WSQ programmes, we are seeking a committed and detail-oriented Course Administrator to support our fast-growing training operations, ensure compliance, and deliver a seamless learner experience.

Role Summary
As the Course Administrator, you will manage the end-to-end coordination of our training programmes—from learner registration, scheduling, logistics setup, to SkillsFuture compliance and post-course submissions.
This role works closely with Trainers, Programme Consultants, Operations, and Learners to ensure all WSQ and non-WSQ courses run smoothly and meet SSG quality standards.

Key Responsibilities
1. Course Operations & Coordination
- Coordinate full course lifecycle: scheduling, enrolment, confirmation, attendance tracking, and post-course follow-up.
- Maintain course calendar and coordinate trainer schedules and venue arrangements.
- Prepare class materials (Learner Guides, Assessments, Feedback forms, Attendance Lists).
- Ensure training rooms / Zoom classrooms are set up before each session.
2. Learner Management & Support
- Handle learner enquiries, registration processes, refunds, payments, and SkillsFuture Credit guidance.
- Communicate pre-course instructions, reminders, and post-course follow-ups.
- Provide timely support to ensure a smooth and positive learner experience.
- Issue e-certificates and maintain accurate learner records.
3. SkillsFuture Compliance & Documentation
- Ensure compliance with SSG, WSQ, and internal QA frameworks.
- Prepare and upload all necessary documents to TPGateway and TMS.
- Support audits, quality assurance checks, GFA documentation, and assessment integrity requirements.
- Ensure trainers submit lesson plans, assessment evidence, and mandatory documentation.
4. Training Management System (TMS) Administration
- Maintain accurate course runs, enrolments, attendance, and assessment results in TMS.
- Troubleshoot TMS-related issues and coordinate with vendors when needed.
- Ensure data integrity for all course records.
5. Logistics, Vendors & General Administration
- Coordinate with venue partners, printing vendors, catering suppliers, and internal teams.
- Manage procurement of training supplies and course materials.
- Maintain structured filing for audit readiness.
- Provide administrative support for corporate workshops, events, and academy operations.

Requirements
Qualifications
- Diploma or Degree in Business Administration, HRD, Education, or related fields preferred.
- Experience in training administration or adult education (WSQ/SSG environment) is highly advantageous.
Skills & Competencies
- Highly organised, detail-oriented, and able to manage multiple deadlines.
- Strong communication and interpersonal skills.
- Good command of English in writing and speaking.
- Excellent customer service mindset.
- Strong documentation, compliance, and process discipline.
Bonus (Preferred)
- Experience with training operations in a WSQ environment.
- Familiarity with TPGateway, SkillsFuture Credit.
- Experience using Training Management Systems (TMS).
