Job description

We are currently looking for suitable candidates to join our Corporate Secretarial Department as Corporate Secretarial Assistant.

Job Description

  • Assist in providing corporate secretarial support to a portfolio of private limited, public listed, VCCs, branches, foreign companies, and other entities.

  • Assist in the incorporation of new companies, registration of branches/representative offices, and other entities, ensuring compliance with the Companies Act 1967.

  • Maintain and update statutory registers, minute books, and corporate records in both electronic and physical formats.

  • Prepare and file statutory documents with ACRA, including annual returns, resolutions, and changes in company particulars.

  • Draft directors’/shareholders’ resolutions and assist in preparing minutes of meetings.

  • Support client onboarding and ongoing due diligence processes, including KYC/CDD documentation.

  • Assist in the automation of work processes within the department.

  • Prepare and submit work pass applications, renewals, and cancellations, and liaise with MOM and other authorities on related matters.

  • Support clients and candidates with documentation and ensure compliance with employment agency and MOM requirements.

  • Maintain accurate records of statutory filings, applications, and correspondence.

  • Handle any other ad-hoc assignments as directed by the supervisor from time to time.

Requirements

  • Diploma/Degree in Business Administration, Corporate Governance, Human Resources, or a related field.

  • Graduates with ICSA/CSIS qualifications and/or a CEI license will be preferred.

  • Fresh graduates are welcome, prior experience in corporate secretarial, or HR/administration will be an advantage.

  • Proficient in Microsoft Office tools, including Word and Excel.

  • Organised, meticulous, and deadline-oriented with good time management.

  • Strong interpersonal and communication skills (written and verbal).

  • Willing to learn, with the ability to work independently as well as in a team.
