Role Summary
We are seeking a proactive, organised and experienced Legal Secretary/Paralegal to join our team. The successful candidate will support our lawyers in mainly conveyancing work. Experience in probate matters is a plus. This role combines substantive legal support with secretarial/administrative duties, and offers an excellent opportunity to grow your career in a reputable law firm.
Responsibilities
- Assist with conveyancing transactions (e.g., file opening/closing, searches, e-lodgement, e-stampings and other procedural requirements)
- Assist with probate matters (e.g., filing probate applications)
- Experienced in e-litigation/e-filing tasks.
- Prepare and format legal documents, correspondence, deeds, affidavits, wills, and other filings.
- Manage case files, maintain diaries and deadlines, monitor progress of matters.
- Liaise with clients, government agencies, registries, banks, and other external parties in a professional manner.
- Assist with billing, opening new client matters, and other administrative tasks as needed.
- Ensure compliance with confidentiality, file security and firm policies.
- Perform other ad hoc secretarial duties as assigned.
Requirements
- With experience in a law firm focusing on conveyancing and/or probate matters.
- Proven experience with e-litigation or electronic court filing systems.
- Able to work independently and handle client communications and queries.
- A dependable team player with a proactive attitude and strong sense of responsibility.
- Pleasant and professional demeanour with good interpersonal skills.
- Organised, meticulous, and able to perform under time pressure.
- Proficient in spoken and written English; able to communicate orally in Mandarin to liaise with Mandarin-speaking clients.
- Good working knowledge of Microsoft Office applications (Word, Excel, etc.).
- Due to quota constraints, the position is intended for Singapore Citizens or Permanent Residents.
