Job summary

A fire protection services company located in Singapore seeks an experienced Contracts Administrator. The role entails managing main contracts and subcontracts for fire protection projects, supporting tendering and cost estimation efforts, and ensuring compliance with contractual obligations and company policies. Candidates should have a diploma or degree in a relevant field and 2–5 years of experience in construction contracts administration, preferably within the fire protection industry. Strong analytical, communication, and negotiation skills are essential.

Job description
Key Responsibilities
  • Prepare, review, and administer main contracts and subcontracts for fire protection projects.
  • Support tendering and cost estimation activities, including quantity take-off and preparation of BOQs.
  • Evaluate and process progress claims, variation orders, and final accounts for clients and subcontractors.
  • Ensure proper contract documentation, correspondences, and filing in accordance with company procedures.
  • Coordinate with project managers, site teams, and clients to resolve contractual or commercial issues.
  • Monitor project cost performance, prepare cost reports, and assist in budget control.
  • Prepare claims, extension of time (EOT) submissions, and assist in contract negotiations when required.
  • Ensure all contractual obligations, statutory requirements, and company policies are complied with.
Requirements
  • Diploma or Degree in Quantity Surveying, Building, Construction Management, or related discipline.
  • Minimum 2–5 years of relevant experience in construction contracts administration, preferably in fire protection, M&E, or ACMV works.
  • Familiar with standard forms of contracts (e.g. PSSCOC, SIA, or FIDIC).
  • Proficient in Microsoft Office and QS-related software (e.g. CostX, Cubicost).
  • Strong analytical, communication, and negotiation skills.
  • Detail-oriented and able to handle multiple tasks within tight deadlines.
Preferred Attributes
  • Experience working with fire protection systems such as sprinklers, hose reels, and suppression systems.
  • Knowledge of local authority requirements (e.g. SCDF regulations) will be an added advantage.
  • Team player with a positive attitude and willingness to take initiative.
