Job summary
A shipping company in Singapore is seeking a professional for contract review, business correspondence, and administrative support. Candidates should have a diploma or degree in business or a related field, with 1–3 years of experience in international trading or shipping. Qualifications

- Good understanding of Incoterms and import/export documents.
Responsibilities
- Review and summarize commercial contracts, NDAs, and service agreements.
- Draft and send formal business emails on behalf of management.
- Assist with company documentation, filing, and reporting.
- Coordinate document approvals and improve internal processes.

- Contract Review & Preparation
Review, proofread, and summarize commercial contracts, NDAs, and service agreements.
Highlight key terms, obligations, and potential risks for management’s attention.
Liaise with vendors, clients, and legal advisors to finalize documentation.
- Business Correspondence
Draft, vet, and send formal business emails on behalf of management.
Prepare letters, quotations, and proposals in clear and professional language.
Maintain organized records of company correspondence and agreements.
- Administrative & Coordination Support
Assist with company documentation, filing, and reporting.
Support management in ad-hoc tasks such as meeting arrangements, project coordination, or data entry.
Liaise with external parties (e.g., clients, suppliers, agents) as required.
- Office & Workflow Support
Coordinate document approvals, signatures, and follow-ups.
Ensure confidentiality and proper document handling at all times.
Contribute to improving internal documentation and communication processes.
Requirements
- Diploma or Degree in Business, International Trade, Maritime Business, or related field.
- 1–3 years of working experience in international trading, shipping, or contract administration preferred.
- Good understanding of Incoterms, import/export documents, and commercial contracts.
- Excellent command of written and spoken English; proficiency in Chinese is an advantage but not a must.
- Meticulous, detail-oriented, and able to manage multiple tasks in a fast-paced environment.
- Proficient in MS Office (Word, Excel, Outlook).
