About the Role
We are looking for aClient Experience Coordinator (CXC) to join our Asia Pacific team in Singapore and play a key role in delivering a seamless client experience. In this role, you willcoordinate and support the end-to-end delivery of virtual and in-person workshops, certification programmes and learning events, primarily in Singapore, with support extending across the Asia Pacific region where required. You will also have opportunities to collaborate with colleagues globally.
You will serve as a key point of contact for clients, participants, facilitators and internal stakeholders, ensuring professional service, clear communication and a positive experience at every touchpoint. Through meticulous planning, administration and follow-through, you will manage every stage of programme delivery, from setup and communications through to logistics, delivery and post programme follow-up, ensuring each programme is delivered efficiently, effectively and to a consistently professional standard.
The role also provides broader operational support through supplier liaison, materials production, inventory management and the continuous improvement of administrative and operational workflows.
This role would suit someone who is highly organised, detail-oriented and proactive, enjoys working with people and coordinating multiple moving parts, and takes pride in ensuring things are delivered accurately and smoothly.
What You'll Do
- Coordinate the end-to-end delivery of client workshops, certification programmes and learning events across virtual and in-person formats,managing multiple simultaneous programmes during peak periods.
- Coordinate communications with clients, participants, facilitators and internal stakeholders, ensuring timely responses, clear information and professional follow-through throughout the programme.
- Deliver a professional and high-quality customer service experience across phone, email and in-person interactions.
- Set up and track programmes using the company’s proprietary portal.
- Serve as the regional system administrator for the Stova platform, supporting registrations and participant communications for programmes and other events.
- Use 360Learning platform (LMS) to set up course sessions, manage participant access, and monitor learner progress for all certification programmes.
- Maintain accurate client records using the HubSpot system (CRM).
- Provide onsite support, including venue preparation, facilitator support and participant assistance, to ensure a seamless programme experience.
- Coordinate venues, catering, programme materials and other logistical requirements for in-person programmes.
- Provide technical support to facilitators and participants during virtual programmes delivered through Zoom and Microsoft Teams.
- Prepare programme materials and coordinate with facilitators and internal teams to ensure programmes are delivered efficiently and professionally.
Operational Support
- Manage the shared support inbox, responding to and resolving client and participant enquiries related to portal access, user accounts and login issues.
- Source and liaise with suppliers to coordinate the production of programme materials.
- Liaise with vendors and suppliers to coordinate office purchases, deliveries and replenishment of operational resources.
- Produce and distribute programme materials for workshops, clients and participants, including arranging shipping where required.
- Manage programme materials and office inventory, ensuring adequate stock levels and helping to keep the workplace organised, well-maintained and operational.
- Support the continuous improvement of administrative and operational workflows.
- Support additional projects and responsibilities as required.

- Confidence in learning and working across multiple digital systems and platforms.
Preferred Qualifications and Experience:
- PolytechnicDiplomaorequivalentqualification.
- Entry-level candidates and fresh graduates are welcome to apply.
- Previous internship, part-time or work experience in programme coordination, events, training administration, hospitality or customer service would be advantageous.
- Experience using CRM, event management, project management and learning management systems, such as HubSpot, Stova, ClickUp and 360Learning, would be beneficial but not required.

Compensation
Monthly Base Salary Range: SGD $3,200 to $3,800
Final compensation will be determined based on relevant experience and qualifications. This position is remunerated on a 12-month salary basis and does not include an Annual Wage Supplement (AWS).
