About The Role

At Sol Therapy, we hold space for people with care, steadiness, and intention. This role is central to that - blending client care, administrative coordination, and clinic operations with a warm, grounded presence.

As our Client Care and Clinic Operations Executive, you will be the clinic’s first point of contact and the steady bridge between clients, therapists, and day-to-day operations. Your role involves supporting clients with warmth, holding key administrative and operational tasks, coordinating clinic logistics, working closely with the Client Care Triage Lead, and offering executive support to the Director of Clinical Operations.

Client Care and Clinic Operations
  • Respond to general enquiries via WhatsApp, email, and occasional phone calls
  • Serve as the first touchpoint before cases move to the Client Care Triage Lead
  • Act as a bridge between clients, the Triage Lead, Directors, and team members
  • Manage day-to-day administrative tasks such as filing, forms, and documentation
  • Prepare invoices, receipts, monthly reports, simple spreadsheets, and update operational and record sheets
  • Assist with bookings, workshop logistics, and basic corporate enquiry responses
  • Oversee basic clinic upkeep and ensure smooth daily flow
  • Coordinate scheduling needs with therapists
  • Support internal onboarding for new team mates and operational processes during team changes or new initiatives
  • Support the team with operational needs such as workshop setup, preparation, and logistical arrangements
Executive Support to the Director of Clinical Operations
  • Assist the Director with selected administrative, communication, and organisational tasks
  • Draft and refine simple emails, letters, messages, or templates when needed
  • Help organise documents, workflows, and operational checkpoints
  • Support follow-up tasks aligned with the Director’s workflow
  • Other occasional administrative duties
Preferences
  • Therapists or practitioners with trauma-sensitive or trauma-informed training
  • Knowledge of relational somatics or an understanding of trauma from a body-based perspective
  • Ability to conduct therapy sessions in Mandarin
  • Experience with crisis support or crisis intervention skills
  • Facilitation experience in workshops, groups, or webinars
Requirements
  • Permanent part time or full-time (with remuneration varying between the two)
  • Minimum 1 year of experience in a similar role involving administrative, client care, or coordination duties
  • Singaporeans, Permanent Residents, or LTVP holders with working LOC
  • Fluent in spoken and written English
  • Organised, meticulous, and reliable, with strong attention to detail
  • Able to communicate clearly and professionally, both with clients and team members
  • Accountable and able to follow through on tasks without constant supervision
  • Willing to learn, adapt, and grow
  • Comfortable using basic digital tools (e.g. Google Workspace / Microsoft Office, spreadsheets, email platforms, Canva)
  • Able to manage multiple tasks and priorities
  • Able to maintain confidentiality and handle sensitive information with discretion
  • Comfortable working in a mental health setting where clients may be distressed or vulnerable
  • A team player with a supportive, respectful, and grounded attitude
