A leading recruitment firm in Singapore is seeking an experienced Executive Assistant to the MD/CEO. This role involves managing complex schedules, coordinating travel, and supporting corporate planning initiatives. Candidates must have at least 5 years of experience assisting C-level executives, be proficient in Japanese, and possess strong analytical and problem-solving skills. This position offers a unique opportunity in a dynamic corporate environment.

Qualifications

Responsibilities

  • Manage the MD / CEO's complex calendar and schedule appointments.
  • Liaise with HQ secretaries in Japan for meeting setups.
  • Make domestic and international travel arrangements.
  • Support Corporate Planning Dept in traveling logistics.
  • Handle sensitive and confidential information securely.
  • Coordinate communication between stakeholders.

Responsibilities
  • Manage the MD / CEO's complex calendar, schedule appointments, coordinating meetings and conferences, including meetings with HQ Management
  • Liaising with HQ secretaries in Japan to set up meetings for Management meetings
  • Domestic and International travel arrangements
  • Reservation for restaurants for business activities
  • Supporting Corporate Planning Dept for their traveling with CEO / MD, or other traveling requirements
  • Administrative tasks to support CEO / MD's daily operations
  • Timely and accurate expense claims for CEO / MD
  • As Back-up support which is part of business continuity plan (BCP)
  • Expense claims for Corporate Planning Dept members
  • Supporting Bangladesh (Dhaka) and Cambodia (Phnom Penh) Office
  • Handle and maintain sensitive and confidential information with the utmost discretion and security
  • Coordinate communication between the CEO / MD, employees, clients and external stakeholders
Requirements
  • Minimum 5 years of secretarial or executive assistant experience supporting C-level executives (CEO, MD, or equivalent)
  • Proficiency in Japanese to communicate with Japanese speaking counterparts
  • Analytical, meticulous, and a good problem-solver
  • Able to work independently and/or in a team
