Position: Administrative Executive (Dance School)
Job Summary: We are seeking a proactive and detail-oriented Administrative Executive to join The Academy of Dance (TAD). The ideal candidate will play a vital role in ensuring the smooth day-to-day operations of our school, handling billing, receipts, enquiries, customer service, and administrative coordination across our studios.
Key Responsibilities:
- Billing & Finance Support — Prepare and issue invoices, receipts, and payment records accurately and promptly. Track outstanding payments and follow up on fees due. Reconcile financial records and assist with monthly reporting.
- Customer Service & Enquiries — Be the first point of contact for parents and students via phone, email, and in-person enquiries. Provide timely, friendly, and professional responses to questions about classes, schedules, and studio information. Maintain positive relationships with students, parents, and staff.
- Communication & Coordination — Communicate effectively with parents, teachers, and management to ensure smooth information flow. Assist in coordinating updates, class changes, and event details between parents and teachers. Support teachers with administrative matters and follow up on parent or student needs.
- Administrative & Operational Support — Manage registration, class enrolment, and attendance records. Assist with organising events, performances, and examinations. Handle document filing, correspondence, and data entry. Oversee inventory of uniforms, merchandise, and office supplies. Support general studio logistics and maintenance coordination.
Requirements:
- Minimum Diploma in Business Administration or related field.
- Proficient in Microsoft Office (Excel, Word), Google Sheets (Docs, Forms) and basic accounting or invoicing software (Customer Management System).
- Strong organisational and multitasking abilities with keen attention to detail.
- Excellent communication and interpersonal skills, especially in engaging with parents and teachers.
- Ability to work independently and collaboratively as part of a team.
- Positive, service-oriented attitude with a genuine care for children and families.
- Able to work on weekends to support class operations and events (off days are weekdays).
Preferred Experience:
- 1–3 years of experience in administration, accounts, or customer service.
- Background in an education, arts, or enrichment centre environment is an advantage.
- Familiarity with billing cycles, payment reconciliation, and registration systems.
- Experience working in a fast-paced, people-focused environment such as a dance or performing arts school.
