Job summary

A leading preschool facility in Singapore is seeking an Administrative Support Officer to assist with child applications, manage enrolments, and liaise with the Finance department. The ideal candidate has a diploma in administration with 3 years of relevant experience, strong interpersonal skills, and is proficient in Microsoft applications. This role requires adaptability in a fast-paced environment and the ability to work independently as well as part of a team.

Responsibilities

  • Assist with new child applications and enrolment documents.
  • Support report submission and application for subsidies.
  • Follow up on fee payments from parents.
  • Input new students into the CMS and Netsuite systems.
  • Liaise with Finance on payment collection and invoicing.
  • Procure items for various needs and maintain inventory.

Job description

The Centralized Administrative team plays a key role in ensuring the smooth operations of the centres and assists the centre principals/ leaders in matters pertaining to financial, procurement and general administration of the centre. As a reliable support to the administrative team, you will be providing efficient and effective office and service administration in the following areas for different centres:

Job Responsibilities
  • Assist in coordination with admission for new child applications and provide administrative support for enrolment documentations and payments
  • Provide administrative support for any report submission, application of subsidies/ grants to relevant external agencies, withdrawal and recording keeping
  • To follow‑up closely with parents for the prompt payment of fees due or outstanding
  • Keying new students into CMS and Netsuite system
  • Liaison with the Finance department on programme payment collection, recordings and invoicing
  • Procure items from vendors for capital expenditures, groceries, cleaning, stationary and other resources, to raise Purchase Orders
  • Maintain proper records on inventories
Job Requirements
  • Diploma in general discipline, administration, or related field with 3 years of relevant work experience
  • Possess relatively strong interpersonal skills to communicate constructively with colleagues and peers
  • Good written and verbal communication skills and highly motivated, strong time management skills and able to multitask
  • Able to exhibit initiative, a pleasant disposition, demonstrate an ability to work independently and manifest good team‑spirit qualities
  • Ability to adapt to changes in a fast‑paced environment
  • To handle confidential information with discretion and integrity
  • Well versed with ECDA requirements will be an added advantage
  • Proficient in Microsoft applications
  • Willing to travel to various location to support the centres needs.
