Job Description

Provide day-to-day admin support for gas pipeline projects, focusing on claims tracking, drawings, site evidence, and document control to keep submissions audit-ready and on schedule.

Key Responsibilities
  • Update Work Order (WO) details and record all VWD-PC-SES emails received regarding claim status in the Project Master Tracking file.
  • Update Sub-contractor/Supplier invoices in the Project Master Tracking system.
  • Maintain and update the claim folder for LTA-ROA applications submitted by the project team.
  • Perform daily checks for photo uploads from site supervisors and handle necessary arrangements or follow-ups.
  • Download Daily Reports and As-built drawings from the site WhatsApp group and follow up with supervisors for the hard copy submissions.
  • Coordinate with the Drafting Team to follow up on drawings required for claim purposes.
  • Collect manpower timesheets from site supervisors for manpower supply to other contractors.
  • Carry out other necessary documentation and administrative tasks as required.
Preferred Skills & Attributes
Requirement
  • Strong Excel/Google Sheets; organised with good follow-through.
  • Comfortable with WhatsApp/Teams and basic document control.
  • Detail-oriented, able to coordinate with site teams and vendors.
  • (Nice to have) Familiarity with LTA/ROA, as-builts, and claims workflows.
  • Any Local poly or University Graduate – Fresh graduates are welcome
  • (Civil engineering cert or AutoCAD cert will be advantage)
