Job Summary

The Volunteer Management & Youth Wing Associate supports MTFA’s efforts to deliver smooth, well‑organised, and meaningful volunteer experiences through strong coordination, administration, and logistics support. This role assists the Volunteer Management & Youth Development (VMYD) Department in the operational aspects of volunteer management and youth engagement, ensuring activities run efficiently and volunteers receive timely guidance and support. Working closely with the Manager (Volunteer Management & Youth Development), the associate contributes to the day‑to‑day running of volunteer initiatives and youth programmes by handling essential backend duties such as scheduling, communication, follow‑ups, documentation, and on‑site coordination.

Volunteer Management Coordination (Operational & Administrative Support)

Support the end‑to‑end volunteer life cycle in an administrative and coordination capacity:

  • Volunteer Coordination & Scheduling
  1. Assist in scheduling volunteer activities, confirming attendance, and coordinating with internal departments for activity needs.
  2. Support the matching of volunteers to roles based on instructions from the Manager.
  • Volunteer Onboarding (Admin Support)
  1. Prepare onboarding materials, assist in sending confirmation emails, orientation reminders, and documentation requirements.
  2. Ensure volunteers submit forms (e.g., PDPA, indemnity, MSF clearance documents).
  • Deployment & On‑Site Support
  1. Support the logistics of volunteer sessions (e.g., preparing materials, liaising with programme staff).
  2. Assist in volunteer supervision during sessions, ensuring attendance is taken and volunteers are briefed.
  • Record‑Keeping & Data Management
  1. Maintain accurate and updated volunteer databases. Support tracking of volunteer hours, attendance, roles, and engagement levels.
  2. Assist in preparing monthly summaries and reports.
  • Volunteer Engagement (Basic Support)
  1. Assist with appreciation initiatives such as preparing certificates, packs, tokens, and follow‑up emails.
  2. Help consolidate feedback forms and update records for reporting.
Youth Wing Coordination Support

Assist in operational aspects of MTFA’s Youth Wing activities, focusing on logistics, communication, and basic programme support:

  • Programme Coordination
  1. Assist in coordinating youth sessions, workshops, and community activities (venue booking, materials, reminders).
  2. Help with participant registration, attendance‑taking, and session documentation.
  • Youth Communication & Follow‑Ups
  1. Send out reminders, updates, and instructions to youth volunteers.
  2. Support data collection on participation and basic feedback collation.
  • Administrative Support
  1. Maintain youth volunteer records, including participation logs and contact details.
  2. Assist with consolidating engagement data for reporting purposes.
  • On‑Ground Support
  1. Provide logistical assistance during youth‑led or youth‑related events (set‑up, check‑in, materials preparation).

Reporting Officer: Manager, Volunteer Management & Youth Development
Official Working Hours: Monday to Thursday 8.00am – 5.30pm. Friday 8.00am – 5.00pm. Candidates will be required to work on some weekends and holidays, time off will be granted in lieu.
