Job description
Job Responsibilities

The Associate Executive (AE) will support the SGH Volunteer Management Department, under Division of Population Health and Integrated Care (PHIC). The AE will assist with various tasks related to recruitment, training, planning, coordination and execution of all activities related to volunteer management and engagement.

The roles and responsibilities include, but is not limited to the following:

  • Manage volunteer email and phone enquiries.
  • Support volunteer deployment, volunteer scheduling and Volunteer records.
  • Support volunteer programme monitoring, evaluation and reporting
  • Assist with administrative matters including preparing certificates acknowledging volunteer hours/contributions.
  • Assist in planning and executing appreciation events, recruitment fairs and campaigns.
  • Provide administrative support, ensuring efficient day-to-day operations and financial tracking of Dept’s expenses
  • Ensure fast and timely response to volunteers where required
    • Assist in troubleshooting and attending to volunteer requests promptly
    • Build and maintain effective working relationships with volunteers; make use of knowledge and context to assist volunteers in resolving problems
  • Assist in resource and logistics management of department assets, including equipment and materials
  • Assist in conducting post-event feedback and collate data for reporting
  • Maintain and update volunteer databases and records
  • Assist in publicity and recruitment events, training and deployment of volunteers
  • Participate in team meetings and contribute ideas to improve processes
  • Any other assigned duties by Director/ Supervisor
Job Requirements
  • Diploma or equivalent inCommunications, Business, Marketing, Community Engagement, Development and Outreach discipline with a strong interest in healthcare and/or volunteer management or digital marketing
  • Experience in volunteeringwould be an advantage
  • Able to work independently
  • Friendly and approachable demeanour, especially when interacting with volunteers
  • Good communication skills, able to demonstrate patience and understanding in dealing with volunteers
  • Work collaboratively as part of a team
