We support clients in facility management, security agencies, engineering firms, commercial buildings, and service sectors across Singapore.
We are expanding and seeking a reliable, hands‑on Assistant Project Manager who is willing to grow long‑term with an SME environment.
Overview of the Role
The Assistant Project Manager will support the delivery of our iREP Security, Facility Management, and Smart Building solutions. This role includes project coordination, client support, technician scheduling, documentation, billing coordination, and ensuring smooth project implementation.
You will work closely with technicians, internal teams, suppliers, and clients to ensure all projects are delivered on time and according to requirements.
This is a practical, hands‑on, SME‑friendly role for someone who is organised, responsible, and willing to learn technical systems.
Responsibilities
1. Project Coordination (Main Role)
- Assist in planning and tracking project timelines, schedules, and milestones
- Coordinate with technicians, vendors, and subcontractors for installation work
- Follow up with clients on requirements, approvals, and project issues
- Prepare weekly project status updates and progress reports
- Attend client and internal meetings (physical/Zoom)
- Prepare and maintain project documentation (SOPs, checklists, handover documents)
- Manage project folders, documents, and updates in SharePoint/Google Drive
- Coordinate hardware delivery (LPR cameras, kiosks, tablets, access control devices, etc.)
2. Client & Operations Support
- Handle basic enquiries about the iREP system (training provided)
- Provide admin support during testing & commissioning
- Coordinate UAT, troubleshooting schedules, and follow‑ups
- Assist operations in preparing quotations, POs, and simple drawings when needed
- Follow up with internal teams to close action items from meetings
3. Quality Checking (Light QC – Suitable for SME)
- Check that installations meet Gabkotech’s standards (training provided)
- Ensure technicians submit clear photos, reports, and checklists
- Identify issues and coordinate correction work before handover
- Perform simple system tests (e.g., kiosk login, mobile app check, access control testing)
4. Handover & Documentation
- Prepare handover packages, user guides, training attendance lists, sign‑off forms
- Support onsite or online user training sessions for clients
- Ensure all project documentation is properly saved, organised, and audit‑ready
5. Billing & Documentation Support (Important for Cashflow)
Ensures the company can bill and collect on time — without turning the role into debt collection
- Ensure all checklists, photos, UAT documents, and handover forms are completed promptly
- Coordinate with clients to obtain approvals, signatures, and confirmations required for billing
- Track project milestones and notify Finance when invoices can be raised
- Follow up with clients on documentation or clarifications that delay billing
- Alert management early about any issues that may affect project closure or invoicing
- Work closely with Finance and Projects team to ensure smooth billing readiness
This section strengthens Gabkotech’s cashflow, reduces delayed payments, and ensures immediate billing after project completion.
Qualification Requirements (Suitable for $3,500–$4,000 Budget)
Education
Diploma or Higher Nitec in:
- IT / Computer Engineering
- Business IT
- Electrical & Electronics
- Facilities Technology
- Logistics / Operations
Bachelor’s degree NOT required — helps maintain salary fit.
Experience
1–3 years experience in ANY of the following:
- Project coordination
- IT support or technical admin
- Facilities management
- Security systems coordination
- SME operations
- Admin support for technical teams
Fresh graduates with strong learning attitude welcome.
