Job description

Position Overview: We are seeking an experienced and highly organized Assistant Operations Manager to lead a team of executives and non-executives in ensuring smooth day-to-day operations of the centre. This is a multifaceted role that involves maintaining operational excellence, upholding quality standards, ensuring inventory accuracy, and providing critical administrative support across HR, finance, and procurement functions. You will also liaise regularly with the headquarters to ensure seamless coordination and compliance with company policies.

Key Responsibilities:

Quality Assurance

  • Develop, implement, and monitor quality control procedures.
  • Conduct internal audits and maintain documentation in line with company standards.

Stocktaking Management

  • Lead periodic inventory counts and reconcile stock discrepancies.
  • Ensure accuracy in stock reports and provide timely updates to management.

Administrative Support

  • HR: Support onboarding, maintain employee records, and assist with payroll documentation.
  • Finance: Process staff expense claims, reconcile petty cash, and assist with budget monitoring.
  • Procurement: Manage purchase orders, liaise with vendors, and coordinate timely follow-ups with headquarters.
Requirements:
  • Tertiary Education in Business Administration, Operations Management, or related field.
  • At least 3 years of relevant experience in operations or administrative management.
  • Strong leadership, organizational, and communication skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Able to work independently and manage multiple priorities effectively.
