Summary of the Role
The Supply Chain Asst Manager is responsible for the operational process of logistics for Singapore in accordance with the goals of the business at an economic cost. The order fulfilment objectives are achieved whilst working within the framework of contributing to society through healthcare and all Terumo Corporation social and ethical guidelines. This position’s focus is to partner with the business to ensure efficiencies and support the organization’s growth expectations.
Key Objectives
- Support the achievement annual sales targets.
- Manage and optimize supplier and sales backorders.
- Ensure compliance with local regulations for import and export shipments. Timely delivery document preparation and delivery to distributor warehouse.
- Optimize inventory levels, consignment stock management, reduce write-offs, and align stock levels with safety policies.
- Coordinate with third-party logistics (3PLs) and vendors to enhance efficiency.
- Implement logistics systems, proper adhere to policies, and procedures.
- Local delivery, export shipment and billing to distributor.
- Ensure regulatory compliance and manage GDPMDS and KPMG audits effectively.
- Manage shipment and distribution costs to align with budgetary goals.
- Lead the supply chain team, fostering a high-performance culture.
- Execute SCM year-end procedures.
Key responsibilities
Logistics, Import & Export Operations Management
- Timely Supplier POs placements.
- Check item and quantity of ordering versus factory allocation.
- Monitor purchase orders (POs), back order, factory’s shipping schedule and import shipping documents.
- Prepare delivery advice, delivery note upon goods arrived and invoice billing to customer.
- Follow up distributors signed DO & temperature indicator form if there is.
- Join monthly discussions with BUs and SCM teams on backorder status and shipment schedules.
- Feedback on service and shipping performance of logistics service provider (LSP) / Global Bid forwarders.
- Check and verify courier and freight forwarding invoices.
- Oversee delivery schedules with local forwarders, maintaining records of all freight charges.
- Check with other sales entities for stock availability to fulfil urgent demand from distributor.
- Arrange shipment and delivery of regional demo unit to Terumo office or hospital.
- Request COA from factory subject to distributors’ request.
- Ensure compliance with local regulations for import and export shipments, including preparation of necessary documentation.
- Manage letters of Credit (L/C) export shipments, coordinating with customers, forwarders, and finance teams to ensure smooth transactions.
Shipment accountability
- Responsible for shipment tracking, communicating, Timely update of ASN, and ultimately confirmation of shipment.
- Provide the incoming shipment list, and back-order recovery update to finance and BUs.
- Improvement towards accuracy and timeliness of shipment updates.
Budgeting and Cost Control
- Summarise shipment costs and logistics expenses, aligning actuals with budgeted targets.
- Prepare cost saving initiative for logistic.
System and Data Management
- Perform year-end SAP procedures (SCM open PO and open SO update).
- Prepare material master data registration form to TAP HQ and TC COE team for new item registration.
Compliance and Audit Management
- Comply to regulatory requirements for product registration and distribution.
- Ensure GDPMDS compliance and KPMG audits, ensuring operational integrity
- Filling and maintenance of master doc in compliance of KPMG audit and GDPMDS audit requirement.
Process Improvement and Automation
- Participate in Supply Chain Improvement Programs (SCIP) and process improvement initiatives, contributing ideas and implementing best practices.
Inventory Management and Consignment
- Reduce inventory write-offs by implementing FIFO and FEFO.
- Biannual stock takes for 3PL warehouse.
- Monitor day-to-day inventory management activities, including receiving, storing, transferring, and issuing stock.
- Monitor and manage consignment inventory agreements such as “PAR Level”, ensuring accurate reconciliation between company and partner records.
- Coordinate stock counts and cycle count with respective PIC to maintain high inventory accuracy in consignment.
- Collaborate with Sales, Supply Chain, and Finance teams to ensure timely usage reporting and invoicing for consignment inventory.
- Analyse inventory trends and usage data to optimize stock levels, reduce excess and obsolescence, and improve stock turnover.
- Track and investigate inventory discrepancies and implement corrective actions.
- Maintain accurate records in ERP systems and generate regular inventory reports.
- Support internal and external audits related to inventory and consignment stock.
- Identify process improvement opportunities in inventory workflows and contribute to system enhancements.
- Local inventory control to meet demand without significant excess stocks.
- Transfer damaged or defective stock to Quality Inspection (QI) area and initiate necessary actions for resolution.
Reporting & Analysis
- Provide comprehensive reporting systems to track key supply chain metrics, including but not limited to order fulfilment, inventory management, backorders, stock turnover, and freight charges.
- Analyze supply chain data, trends, opportunities and areas of risk, providing actionable insights for improvement.
Team Leadership and Development
- Assign, monitor, and review tasks performed by logistics teams.
- Conduct performance evaluations, provide feedback, and foster professional growth.
- Implement procedural changes to improve team efficiency and effectiveness.
3PL management
- Vendor and contract management, monitor contract compliance and performance.
- Operational oversight, ensure smooth execution of warehousing, transportation and distribution.
- Performance monitoring, track KPIs and conduct regular performance reviews with 3PL providers.
Other Duties
- Undertake ad-hoc tasks and projects assigned by management.
- Participate in corporate social responsibility (CSR) events, process improvement initiatives, and team bonding activities.
Functional / Technical Skills
- Expertise on import and export logistics operations (inbound, outbound, DG and LC).
- Strong in 3PL management and warehousing.
- Experience with consignment Inventory management.
- Familiar with SAP/S4 systems (MM,SD,O2C).
- Strong adaptability, time management and problem-solving skills.
- Excellent communication, interpersonal skills and stakeholder management skills.
- Resilience and stress tolerance, able to maintain composure and productivity.
- Proficient in Microsoft Office and other data analysis tools.
Education & Experience
- Bachelor’s degree/diploma in business administration, supply chain, or related fields.
- Preferred experience in regulated industry (e.g., medical devices, pharmaceuticals or FMCG.)
- Minimum of 5 years of experience in supply chain management.
- Preferred CSCP certified or trained.
