Overview

The successful candidate will join the NUHS Group Digital Office supporting the team in administration of our IT innovation grant programme.

Job Responsibilities

The appointee will join NUHS Group Digital Office (GDO) to administer IT innovation grants with focus areas of AI, Sensors and Wearables, and Robotics and Automation. The position is responsible for ensuring the efficient operation of grants, record keeping claims and financial oversight. The grant administrator will provide administrative support to the programme manager, evaluation panel, and project teams. The position holder will enable innovation within and beyond NUHS while ensuring compliance to internal policies and funding requirements.

  1. 1. Coordinate grant calls
    • Schedule review sessions with pre-assessment teams, evaluation panels and cross-cluster evaluation teams as required
    • Document meeting minutes and matters arising
    • Manage communication between applicants, evaluation panel members, and all relevant stakeholders
    • Prepare and disseminate grant administration materials and keep track of all supporting documents (e.g. grant application materials, acceptance of award)
  2. 2. Grant budget management
    • Monitor and manage grant budgets, which consists of programme operations budget and project grant awards budget
    • Track and monitor expenditure against approved awards for programme operations and approved project grant awards
    • Collaborate with the finance department to ensure proper accounting and reconciliation of grant funds, WBS/IO creation, budget allocation and tracking
    • Liaise with project teams to prepare financial reports such as claims, cashflow projections, as well as a consolidated version at program level
    • Review submitted project claims for appropriateness of claims, highlighting any discrepancies against funding guidelines
    • Provide first-level financial and grant advisory to applicants
    • Ensure that all claims are filed in a prompt manner and in compliance to fund’s terms and conditions and NUHS policies
  3. 3. Project monitoring
    • Liaise with project teams to receive project progress reports
    • Review progress of grants to ensure that KPIs, milestones, budget utilization, and reimbursement of funds are on track
  4. 4. Support procurement administration required for programme operations
    • Submit and track sourcing demand for Synapxe services
    • Ensure that any Synapxe services are billed on time and claims are filed promptly
  5. 5. Takes initiative to resolve problems within his/her capability whenever required
    • Contribute to the ongoing refinement and evolution of programme operations
    • Any other activities requested by the Group Chief Digital Officer or Reporting Officer
Requirements
  • Bachelor’s degree in business administration, healthcare administration, IT, science, engineering, or another relevant subject
  • At least 2 years' experience in grant administration, grant management and administration, or project management office
  • Proficient in MS Outlook, Word, Excel, PowerPoint.
  • Proven experience in budget management, financial tracking, and claims processing
  • Strong administrative skills and organized in process and record keeping
  • Comfortable with working in a team within a matrix organization and able to work respectfully with individuals and groups from different cultures
  • Good written and oral communication skills
  • Team player who can work independently in a fast-paced environment to meet deadlines.
  • Positive work attitude, proactive, flexible and adaptable.
  • Experience in the Healthcare industry is an advantage.
