Job Scope:

  • Lead a team in managing soft services, including but not limited to reception, janitorial, landscaping, pest control, and pantry management.
  • Conduct regular site walks and inspections to ensure operational standards and service quality are maintained.
  • Escort and supervise vendors (e.g. pest control, landscape) during site activities.
  • Oversee mailroom and pantry services, ensuring performance meets or exceeds client-defined SLAs.
  • Manage cleaning services in compliance with client standards and workplace policies.
  • Collaborate with IT to ensure meeting rooms and shared spaces are fully operational; report and resolve issues promptly.
  • Assist in space planning, occupancy tracking, and optimization to improve workplace utilization.
  • Support internal events, including space setup and coordination of pantry, reception, and security services.
  • Participate in weekly event standby rotations and act as first responder when workplace issues are reported.
  • Ensure site operations are compliant with HSE standards and company policies.
  • Identify potential risks or hazards and escalate promptly for mitigation.
  • Conduct weekly operations meetings and monthly management meetings with the client.
  • Maintain open communication channels with internal stakeholders and external vendors to ensure service excellence.
  • Track and follow up on Jira tickets to ensure timely resolution within defined SLAs.
  • Maintain accurate and up-to-date documentation and administrative records.
  • Prepare periodic reports on operations, service performance, and improvement initiatives.
  • Proactively identify and propose operational or experiential improvements.
  • Support ad-hoc tasks, projects, or other duties as assigned by the Facilities Manager / Site Lead.
