Assistant Administrative Executive

RESPONSIBILITIES

We are seeking a highly organized and proactive Assistant Administrative Executive to join our team. In this role, you will be responsible for maintaining accurate manpower, facility, and dormitory records, as well as providing essential administrative support to the department. If you have excellent communication skills, are proficient with Microsoft Office tools, and have a keen eye for detail, we encourage you to apply.

Roles and Responsibilities

Manpower Administrative Support:

  • Maintain and update current manpower database/AppSheet records.
  • Review course expiry for worker levels in the database/AppSheet.
  • Assist in preparing manpower reports for management review.
  • Assist in consolidating documents for IPA applications for workers.
  • Ensure compliance with company policies and regulatory requirements related to manpower records and documentation.
  • Liaise with workers for necessary documentation.
  • Assist with other general ad-hoc administrative activities as assigned by management.

Facility, Dormitory & Security Support:

  • Assist in updating dormitory records in EMS.
  • Perform accurate data entry of resident information into dormitory management systems or spreadsheets.
  • Organize and file documents such as tenancy agreements, maintenance reports, invoices, and correspondence.
  • Ensure all records and documents are properly updated, stored, and easily retrievable for reference or audit purposes.
QUALIFICATIONS
  • Diploma in Business Administration or related field.
  • Minimum 1 year of relevant work experience, preferably in the construction industry.
  • Excellent oral and written communication skills for effective interaction with colleagues and stakeholders.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint, for organizing work and professional communication.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • A keen eye for detail and a commitment to accuracy.
  • Ability to work independently and collaboratively as part of a team.
