Job Scope & Responsibilities
- Manage day-to-day office operations (filing, documentation, office supplies, etc.)
- Handle incoming calls, emails, and correspondence professionally
- Coordinate with internal teams and external vendors on operational matters
- Maintain and update records, databases, and filing systems
- Assist in scheduling meetings and appointments
- Process invoices accurately and efficiently
- Monitor and follow up on outstanding payments from clients
- Draft contracts and agreements for customers
- Track contract durations and ensure timely renewals
- Assist in renewing road tax and insurance policies
- Source and obtain insurance quotations for company vehicles
- Furnish drivers’ details for traffic offences when required
- Perform ad hoc administrative tasks as assigned
- Communicate effectively with English- and Chinese-speaking customers
Qualifications & Requirements
- Prior administrative or office support experience preferred
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Ability to multitask and work independently
- Reliable, proactive, and resourceful
- Class 3 driving license is an added advantage
