Job summary

A training institute in Singapore is seeking an enthusiastic Admin Assistant to provide administrative support for training plans. Responsibilities include managing training documents, scheduling classes, and supporting trainers and learners. Ideal candidates should have experience with TPGateway and Skilleto, be proactive, and possess a positive work attitude. This is a full-time in-person role that may require weekend work.

About the role

We are seeking an enthusiastic and customer-focused Admin Assistant to join our team.

As the first point of contact for our customers, this full-time role is responsible for providing administrative support in the implementation of the company’s training plans and programmes.

Roles & Responsibilities
  • Ensure timely submission of documents via Training Management System, Skilleto to TPGateway for training grants, SkillsFuture credit, UTAP and/or PSEA application and approval.
  • Data entry and submissions of learners' details, training history, attendance (phyiscal and online), communications, course evalutation, assessment results and grant application into TPGateway.
  • Ensure proper online (via Dropbox) and physical filing of documentations in order to be TPQA and ERF audit ready.
  • Coordinate and schedule classes with learners and trainers.
  • Manage training attendee communications proactively.
  • Provide support for trainers and learners for online and in-person classes.
  • Collates training evaluations and assists in the preparation of training reports and statistics.
  • Manage incoming training requests, collate, and resolve conflicts.

Requirements
  • Must have experience with TPGateway and Skilleto, as well as understanding of compliance with SkillsFuture requirements.
  • Positive working attitude, willing to learn, have strong sense of responsibility, and good team player.
  • Proactive, demonstrate good initiative and work independently with minimum supervision.
  • Salary shall be commensurate with qualifications and working experience.
  • Fast learner, multi-tasker & able to work in fast-paced environment.
