Job Summary
The IT Admin plays a key role in supporting project delivery by ensuring effective communication, financial tracking, and vendor coordination. This role involves organizing project events, managing project documentation, monitoring financial performance, and facilitating smooth interactions between internal teams, customers, and vendors.
The position contributes to organizational efficiency by aligning project administration with corporate standards and ensuring accurate financial and operational processes.
Responsibilities
- Coordinate project communication across stakeholders, ensuring clarity and alignment with corporate standards
- Organize and manage project-related events, meetings, and workshops
- Maintain accurate project documentation, including schedules, reports, and communication records
- Draft and distribute project updates, announcements, and progress reports using approved templates and tools
- Ensure all communications are professional, user-friendly, and aligned with organizational guidelines
- Support continuous improvements in project workflows and administrative processes
- Maintain Active Directory accounts, permissions, and email configurations
- Manage and update the IT asset inventory and documentation
- Draft clear and concise email broadcasts for IT updates, changes, or incident notifications
- Use provided email templates and tools to format and distribute messages
- Maintain IT SOPs, how-to guides, and knowledge base content
- Support ongoing improvements to IT workflows and processes
- Track and monitor project Profit and Loss to ensure financial performance is on target
- Update and maintain project financial forecasts with project managers and finance teams
- Prepare and process project invoices to customers with accuracy and timeliness
- Manage vendor payments, including verification of completed work
- Request quotations from vendors and evaluate proposals for cost-effectiveness
- Raise Purchase Orders to vendors in compliance with procurement policies
- Verify and document work completion to support invoicing and vendor payment processes
Essential Qualifications
- Diploma or degree in Business Administration, Finance, or a related field
- Experience in project administration, financial tracking, or vendor management
- Strong written and verbal communication skills
- Attention to detail and commitment to accuracy in financial and administrative processes
