The ideal candidate holds a diploma or degree in Business Administration or Human Resources and possesses strong HR knowledge, excellent organizational abilities, and proficiency in MS Office. Qualifications

Responsibilities

  • Prepare HR letters such as confirmations and extensions.
  • Oversee general office operations and supplies management.
  • Coordinate travel bookings and vendor management.
  • Support performance appraisal coordination.

Job Description
A. Human Resources
  • Maintain and update employee personal files, HR databases, and HRIS systems.
  • Support recruitment activities (job postings, interview scheduling, candidate coordination).
  • Assist onboarding and offboarding processes (contracts, orientation, asset issuance/return).
  • Track probation periods, contract renewals, work passes, and key HR deadlines.
  • Assist in employee engagement initiatives, social activities, and communication updates.
  • Prepare HR letters (confirmation, extension, warning, resignation acceptance, etc.).
  • Support payroll processing by providing updated attendance, claims, and HR data.
  • Maintain leave records and ensure compliance with company policies and statutory requirements.
  • Assist with performance appraisal coordination and documentation.
B. Administrative
  • Oversee general office operations: meeting rooms, pantry, stationery, office supplies, equipment servicing.
  • Coordinate travel bookings, hotel arrangements, and logistics for employees and visitors.
  • Handle vendor coordination (cleaning, repair/maintenance, courier, office supplies, etc.).
  • Manage document control, filing, record retention, and archiving.
  • Support asset management (inventory logs, issuance, tracking, disposal).
  • Assist in event planning for corporate meetings, staff activities, and training sessions.
  • Support procurement processes and ensure proper documentation and approvals.
  • Maintain company licenses, insurance renewals, and compliance deadlines.
3. Job Requirements
A. Qualifications
  • Diploma or Degree in Business Administration, Human Resources, or related fields.
  • 1–3 years of experience in HR or Administrative roles preferred (fresh graduates considered for junior roles).
B. Skills & Competencies
  • Strong knowledge of HR practices, employment laws, and statutory regulations (MOM, CPF, IRAS—adjust based on country).
  • Good organisational and multitasking abilities; able to manage timelines independently.
  • Strong communication skills (written & verbal) with professional business etiquette.
  • Proficiency in MS Office (Excel, Word, PowerPoint)
  • High attention to detail, accuracy, and confidentiality in handling HR information.
  • Customer-service mindset with a positive and proactive attitude.
  • Ability to work under minimal supervision and handle sensitive matters discreetly.
