Job summary

A leading construction firm in Singapore seeks an Office Administrator to assist with the smooth operation of the project site office. Responsibilities include secretarial and administrative support, managing office logistics, and maintaining organized document systems. The ideal candidate has at least 2 years of relevant experience, strong communication skills, and proficiency in MS Office. This role is integral to supporting the project team effectively.

Job description
Responsibilities
  • To assist the Officer Manager in ensuring the smooth operation of the project site office in areas such as logistics, visitors, vendors, housekeeping, office security access, stationeries, incoming and outgoing correspondences, etc
  • To provide secretarial and administrative functions for the project site team, and the project management and engineering office
  • To provide professional reception manning
  • To assist in office day-to-day administrative works
  • To do Airport Pass coding for AFLCC
  • To distribute Personal Protection Equipment (PPE)
  • Keeping the inventory stock item like ART kits, stationery, PPEs, stock monitoring, and recording
  • Tracking monthly manpower movement
  • Process AL and OIL applications for relevant parties signatories
  • Computer allocation for new staff and update inventory
  • Assist in maintaining an organised and up-to-date EDMS, ensuring accurate document categorisation and retrieval
  • Any other duties deemed necessary
Requirements
  • Minimum "O' levels with at least 2 years of relevant working experience
  • Strong communication skills, both written and spoken
  • Good working knowledge of MS Office, and adept at spreadsheets and file management systems
  • Able to manage large volumes of numerical data and documentation, both physical and digital
  • Detailed, organised, meticulous and yet adaptable, able to work independently and a good team player
  • Good working attitude with interpersonal and communication skills
  • Prior experience and knowledge in the use of systems and filing of records and documents, including EDMS, will be advantageous
