Job summary

A leading consultancy firm in Singapore seeks an administrative officer to assist with project site operations and provide secretarial support for the project management team. The ideal candidate should have at least 2 years of experience, strong communication skills, and proficiency in MS Office. This role requires attention to detail and the ability to manage documentation effectively.

Qualifications

  • At least 2 years of relevant working experience.
  • Able to manage large volumes of numerical data and documentation.
  • Prior experience with EDMS will be advantageous.

Responsibilities

  • Assist the Officer Manager with project site operations.
  • Provide secretarial and administrative support for the project team.
  • Maintain inventory stock items and track manpower movement.

Job description
Responsibilities
  • To assist the Officer Manager in ensuring the smooth operation of the project site office in areas such as logistics, visitors, vendors, housekeeping, office security access, stationeries, incoming and outgoing correspondences, etc
  • To provide secretarial and administrative functions for the project site team, and the project management and engineering office
  • To provide professional reception manning
  • To assist in office day-to-day administrative works
  • To do Airport Pass coding for AFLCC
  • To distribute Personal Protection Equipment (PPE)
  • Keeping the inventory stock item like ART kits, stationery, PPEs, stock monitoring, and recording
  • Tracking monthly manpower movement
  • Process AL and OIL applications for relevant parties signatories
  • Computer allocation for new staff and update inventory
  • Assist in maintaining an organised and up-to-date EDMS, ensuring accurate document categorisation and retrieval
  • Any other duties deemed necessary
Requirements
  • Minimum "O' levels with at least 2 years of relevant working experience
  • Strong communication skills, both written and spoken
  • Good working knowledge of MS Office, and adept at spreadsheets and file management systems
  • Able to manage large volumes of numerical data and documentation, both physical and digital
  • Detailed, organised, meticulous and yet adaptable, able to work independently and a good team player
  • Good working attitude with interpersonal and communication skills
  • Prior experience and knowledge in the use of systems and filing of records and documents, including EDMS, will be advantageous
