A local company in Singapore is seeking an Office Administrator. Responsibilities include managing visitors, handling calls, performing office maintenance, and managing document distribution. The ideal candidate should be proficient in Chinese and English, hold a diploma or higher, and be a Singapore citizen or PR holder. Experience in foreign trade or finance is preferred.
Receive visitors and maintain the company's image and reputation.
Handle incoming calls, ensure prompt response and proper routing of information.
Perform daily office maintenance and procurement tasks.
Manage document distribution, recording, archiving, and meeting scheduling.
Facilitate internal communication and coordination across departments/positions.
Complete tasks assigned by leadership and address ad-hoc requests.
Order Data Sorting and Entry:
Responsible for receiving, verifying, categorizing, archiving, and entering all sales orders of the company, ensuring the accuracy and completeness of order information.
Data Verification and Reconciliation:
Assist in the statistics and verification of order data, and regularly perform reconciliation with customers and the finance department to ensure accounting consistency.
Proficiency in Chinese and fluent English (Chinese speakers preferred) to effectively communicate with Chinese-speaking clients.
Any gender; diploma or higher education.
Strong adaptability, responsibility, and professional ethics.
Proficient in MS Office Suite.
Singaporean citizen or Permanent Resident (PR) holder.
Experience in a foreign trade company.
Financial work experience.
