Position Title: Administrative Manager (Compliance)
Job Summary
The Administrative Manager is responsible for overseeing and coordinating administrative functions across the organization, ensuring compliance with statutory and licensing requirements. This includes managing applications and renewals for Massage Establishment Licences and CaseTrust accreditation, handling tenancy agreements, coordinating insurance matters, and supporting financial and operational management activities.
Key Responsibilities
Licensing and Compliance
- Manage and ensure timely application, renewal, and compliance of Massage Establishment Licences with relevant authorities.
- Prepare documentation and coordinate with regulatory bodies for CaseTrust licence application and renewals.
- Maintain accurate and up-to-date records of all business licences, permits, and certifications.
- Monitor compliance with company policies and statutory requirements.
Tenancy and Contracts Management
- Liaise with landlords and property management teams for tenancy agreement renewals, terminations, and negotiations.
- Ensure all lease terms, renewals, and notices are handled in a timely and professional manner.
- Maintain organized records of tenancy agreements and related correspondence.
Insurance and Risk Management
- Coordinate and review insurance coverage for massage and wellness services, including public liability, professional indemnity, and equipment coverage.
- Manage workmen compensation insurance policies, ensuring compliance with manpower regulations.
- Liaise with insurance providers for policy renewals, claims, and premium reviews.
Administrative and Financial Support
- Oversee day-to-day administrative operations, office management, and document control.
- Assist in budget preparation, financial reporting, and cost control in coordination with the finance team.
- Support management in auditing processes, procurement, and vendor relations.
- Implement efficient administrative systems and processes to support business operations.
Team Management
- Supervise and guide administrative staff to ensure smooth workflow and adherence to company policies.
- Conduct performance reviews and identify opportunities for team development.
Job Requirements
- Education: Diploma or Degree in Business Administration, Management, or equivalent field.
- Experience: Minimum 5 years of relevant administrative or operations management experience, preferably in the spa, wellness, or hospitality industry.
- Proven track record in handling licensing compliance (Massage Establishment Licence and CaseTrust).
- Experience in tenancy agreement administration, insurance management, and financial coordination.
- Strong knowledge of workmen compensation policies and general HR-related compliance.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and familiar with accounting systems is an advantage.
- Excellent communication, negotiation, and interpersonal skills.
- Strong organizational ability with attention to detail and ability to manage multiple priorities.
