As an Admin Executive, you’ll be the backbone of the office — coordinating tasks, managing records, and providing essential support across departments. Your work will help foster a professional, well-structured environment where colleagues feel empowered and projects move forward without a hitch.

No prior executive-level experience is required to join the team — only a genuine passion for organization, problem-solving, and helping people succeed through effective administration.

About the company

Opening in January 2026, Mokara Gymnastics Academy will be Singapore’s largest gymnastics facility – a 20 000 square foot, state-of-the-art training space located in Perennial Business City, just a 3-minute walk from Jurong East MRT Station.

Led by internationally certified coaches, we offer fun, structured programmes that build confidence, coordination and teamwork through movement and play.

Responsibilities

Office Administration

  • Manage correspondence, emails and phone calls.
  • Maintain digital and physical filing systems.
  • Schedule and coordinate meetings, appointments and travel arrangements.
  • Provide general support to management and staff to keep operations efficient.

Documentation & Reporting

  • Assist in preparing reports, presentations and internal documentation.
  • Record meeting minutes and track follow-ups.
  • Maintain internal databases and ensure timely updates.

Team Support

  • Provide logistical and administrative support to managers and staff.
  • Coordinate logistics for training sessions, workshops, and company events.
  • Liaise with vendors and partners for service delivery and orders.
  • Support planning and execution of company events and trainings.

Finance & Procurement Assistance

  • Process invoices, expense claims and purchase orders.
  • Track inventory and reorder supplies when needed.

Technical Support

  • Set up email, shared folders and calendar access for new hires.
  • Coordinate and test CCTV and AV displays (TVs, digital signage, clocks)
  • Troubleshoot simple tech issues or coordinate with external IT support.
Requirements
  • Diploma or Bachelor’s degree in Business Administration or related field (preferred but not mandatory)
  • 1–2 years of experience in an administrative or office support role is an advantage
  • Strong organizational and multitasking skills with keen attention to detail
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other office tools
  • Excellent communication skills — both written and verbal
  • Ability to work independently as well as part of a team
  • Positive attitude, adaptability, and a willingness to learn
  • Ability to maintain confidentiality and handle sensitive information.
