Job description

The National Arthritis Foundation (NAF) is an IPC-status charitable body set up in 1984 to provide support to people living with arthritis and autoimmune rheumatic conditions through education, community programmes, and patient-centric initiatives. We work closely with an eco-system that comprises patients, caregivers, healthcare professionals, community and corporate partners to create meaningful impact for those we support.

We are hiring an Administrative Executive who is organised, detail‑oriented, and passionate about working in the non‑profit sector. The role supports day‑to‑day administrative and secretarial functions, including keeping and reconciling accounts by working with an outsourced accountant. The candidate will also lend support to the rest of the team to ensure smooth operations of programmes, support group activities and fundraising events.

Role & Responsibilities
Office Administration
  • Provide office administrative support, including management of office supplies, equipment, furniture, and overall office cleanliness.
  • Assist in coordination of programmes, events, and meetings.
  • Handle email correspondence, phone enquiries, and liaison with vendors and partners.
  • Support membership administration and database updates.
  • Administer staff leave, attendance, insurance matters, and government claims (e.g. NS Make‑Up Pay, childcare leave, maternity, paternity, shared parental leave, and training grants).
Finance Support
  • Assist with invoicing, receipts, and payment tracking.
  • Liaise with banks on accounts‑related matters and support audit processes.
  • Administer donations and manage tax‑deductible receipts and reporting.
  • Coordinate with outsourced accountants to ensure monthly management accounts are completed promptly and accurately for Board reporting.
Programmes Support
  • Assist with preparation of event materials and participant communications.
  • Support simple content or poster creation for events or programmes (if able).
  • Help with packing of materials and logistical coordination for events.
  • Attend and mend NAF booth at educational roadshows.
Attributes We Value
  • Diploma or equivalent qualification (Accounting, Business Administration, or related fields preferred).
  • Basic accounting knowledge or experience preferred (e.g. invoicing, bookkeeping, expense tracking).
  • Comfortable working with Microsoft Word, Excel, Google Workspace, CRM software, accounting software.
  • Organised, reliable, and able to multitask.
  • A genuine interest in charity work and supporting the community.
  • Display empathy especially when interacting with beneficiaries/patients.
  • Basic design skills (e.g. Canva, Adobe Photoshop) would be an advantage.
  • Minimum 2 years working experience in related field or scope of work.
  • Meticulous, resourceful, and able to work with minimal supervision.
  • Able to multi‑task and meet tight timelines.
  • Good interpersonal and communication skills.
