Salary Range: $14.00 per hour

Working Hours: 8.30am – 6.00pm (Monday to Thursday), 8.30am – 5.30pm (Friday)

Job Overview

We are seeking a meticulous and detail‑oriented Administrative Assistant to support the digitisation and management of records. In this role, you will assist with the preparation, verification, and upload of digital records, as well as manage the day‑to‑day operations of the Central Registry. This position provides an excellent opportunity for individuals looking to contribute to efficient records management and gain valuable experience in a dynamic environment.

Key Responsibilities
  • Prepare files and leasing Transaction Agreements (TAs) for scanning and ensure all records are ready for digitisation.
  • Verify the accuracy and completeness of scanned files to ensure they meet required standards.
  • Assist in retrieving documents/files for collection and distribution to relevant departments.
  • Conduct periodic checks on Daily Mail storage boxes, removing irrelevant files before they are sent for storage.
  • Upload digitised files into the electronic records system and ensure they are correctly categorized in the system.
  • Appraise physical and digital records to determine retention requirements and ensure compliance with organizational policies.
Requirements
  • Diploma in Records Management, Information Management, or a related field.
  • 1-2 years of experience in records management, file/records appraisal, or a related area is preferred but not required.
  • Proficiency in MS Office, particularly Excel.
  • Strong written and verbal communication skills.
  • Excellent organizational skills with attention to detail.
  • Ability to manage information efficiently and accurately.
  • Proactive and able to work independently as well as in a team.
