We’re looking for an Administrative Assistant (Creative Operations & Scheduling) to support our growing team of creatives, strategists, and business leads. This role is ideal for someone who’s organized, communicative, and thrives in fast-paced, creative environments.

Role Overview

As the Administrative Assistant, you’ll be the backbone of our creative operations — managing schedules, tracking deliverables, and ensuring that internal workflows are efficient and well-coordinated.
You’ll work closely with the Creative, Accounts, and Business teams to align production timelines, coordinate shoots, and keep all moving parts on track.

Key Responsibilities
  • Manage and coordinate the creative production calendar, including shoots, editing deadlines, and client delivery schedules.
  • Liaise between creative, accounts, and business teams to ensure clear communication and timeline alignment.
  • Prepare and update project trackers, meeting notes, and internal status reports.
  • Schedule internal reviews, team syncs, and client presentations.
  • Assist with logistical arrangements such as equipment booking, studio scheduling, and vendor coordination.
  • Support onboarding for new staff and interns by maintaining updated SOPs and workflow documentation.
  • Ensure timely follow-ups on deliverables, approvals, and post-production tasks.
  • Maintain organized records for production assets, invoices, and documentation.
  • Assist management with administrative support such as filing, expense tracking, and purchasing coordination.
