Job summary

A construction company in Singapore is seeking an Administrative Assistant to support project documentation, vendor coordination, and workforce management. The ideal candidate will have a GCE 'O' Level or 'A' Level and possess strong organizational and communication skills. Experience is preferred, although training will be provided. This full-time position offers a starting salary of SGD $2,500 to $3,000 with a 5 or 5.5-day work week, depending on operational needs.

  • Some experience required but training provided.
  • Responsible, diligent, and good working attitude.

Responsibilities

  • Process, organise, and maintain project documents and files.
  • Provide general administrative support to ensure smooth workflow.
  • Liaise with vendors and suppliers to coordinate logistics.
  • Assist with interviewing and hiring construction workers.
  • Manage application processes for work passes.
  • Prepare and manage invoices for payment.

To support our expanding operations, we are looking for a motivated and organised Administrative Assistant to join our team.

Job Responsibilities
1. Administrative & Documentation Support
  • Process, organise, and maintain project documents and files
  • Provide general administrative support to ensure smooth workflow
2. Vendor & Logistics Coordination
  • Liaise with vendors and suppliers
  • Coordinate delivery of materials, equipment, and related logistics
3. Workforce & Training Coordination
  • Assist with interviewing and hiring construction workers
  • Handle applications for Work Permit (WP), S Pass, and Employment Pass (EP)
  • Manage the entire application process until the pass is approved/issued
  • Track workers’ training status and schedule required training courses
  • Arrange and manage workers’ dormitory accommodation
4. Finance & Record Management
  • Prepare and manage invoices for payment
  • Process reimbursement claims accurately and promptly
Job Requirements
  • GCE “O” Level or “A” Level (with accounts experience is an advantage)

  • Able to multitask and work independently
  • Strong organisational and communication skills
  • Some experience required but training provided
