BASIC FUNCTION
Assists in the administrative activities of the branch, ensures that the office, including equipment are in order and professionally presentable; process expenses; undertakes various clerical tasks and provides assistance to remittance section from time to time.
DUTIES AND RESPONSIBILITIES
- Performs secretarial duties for the General Manager.
- Keep minutes of the meetings of different committees of the branch, including the all-staff meeting.
- Maintains orderly filing of all administrative related matters and ensures that all office documents are properly and neatly kept for easy reference.
- Ensures the cleanliness and orderliness of the Lucky Plaza office; oversees the contractual cleaners and office attendant/messenger.
- Processes payments in accordance with established guidelines.
- Attends to and acts on all matters regarding unattached services in the department; assist visiting VIPs for transportation, hotel reservations and airline reservations.
- Monitors employee's attendance and provide management and IASD with the monthly attendance report.
- Assists in the preparation of regular monthly reports required by different regulatory bodies and management.
- Processes requests for payment and ensure that all valid payables are paid at the appropriate time without incurring any unnecessary charges.
- Processes orders from various sections ensuring that they are properly approved by management and procures supplies from the best suppliers.
- Provides assistance to Remittance Section as requested by the designated officers.
- Performs other related duties as may be assigned by the Regulatory Compliance Officer, Deputy General Manager and General Manager.
