Site Management
- Coordinate with site teams, contractors, and vendors to ensure timely completion of projects
- Monitor site activities, progress, and quality control
- Conduct site inspections and audits to ensure compliance with safety and regulatory requirements
- Manage site documentation, including permits, licenses, and certifications
- Liaise with local authorities and stakeholders on site-related matters
- Coordinate with logistics teams for equipment and material delivery
- Ensure site facilities and equipment are maintained and in good working condition
Project Management
- Provide administrative support to project managers, including scheduling meetings and preparing reports
- Coordinate project timelines, milestones, and deliverables
- Assist in project planning, budgeting, and resource allocation
- Prepare and distribute project documentation, including proposals, contracts, and reports
- Monitor project progress, identify risks, and implement mitigation strategies
- Facilitate communication among project stakeholders, including clients, contractors, and vendors
- Assist in project closure, including lessons learned and evaluation
Office Management
- Manage office facilities, including maintenance, utilities, and supplies
- Coordinate with vendors and service providers for office services, such as cleaning and IT support
- Oversee office administration, including HR, finance, and procurement
- Prepare and distribute office reports, including financial and operational reports
- Ensure compliance with company policies, regulatory requirements, and labor laws
- Manage office records, including documents, files, and archives
- Coordinate company events, meetings, and training programs
Typical Skills and Qualifications
- Diploma or degree in business administration (BA), management, or related field
- 11 years of experience in admin support or related role
- Strong communication, interpersonal, and problem-solving skills
- Proficiency in MS Office, Google Suite, or other productivity software
- Familiarity with project management tools, such as Asana, Trello, or MS Project
- Ability to work independently and as part of a team
- Strong organizational and time management skills
