We are seeking an Administrative and Operations Assistant with strong project management skills and proficiency in Canva to support our growing team. The ideal candidate will handle administrative and client service tasks, coordinate media projects, and create visually engaging materials to enhance communication and workflow. This role is suited for someone who thrives in a dynamic insurance environment, is detail-oriented, and enjoys balancing operational and creative responsibilities.

Key Responsibilities
  • Provide administrative support to insurance consultants, liaise with underwriters, including scheduling, correspondence, and document management.
  • Process insurance applications, renewals, endorsements, and claims, ensuring accuracy and compliance with regulatory requirements.
  • Maintain and update client records and insurance databases, tracking policy changes and client interactions.
  • Respond to client inquiries regarding policy details, coverage options, and claims status in a timely and professional manner.
  • Coordinate and track media projects, ensuring tasks are prioritized, deadlines are met, and deliverables align with business goals.
  • Prepare and distribute documents, including quotes, policy summaries, and certificates of insurance.
  • Use Canva to design presentations, reports, marketing materials, and client communications, ensuring all visuals are on-brand and professional.
  • Collaborate with internal teams to ensure compliance with regulatory requirements and support continuous process improvement.
  • Assist with risk assessment, data analysis, and preparation of insurance reports as needed.
  • Support training of new staff on administrative processes and insurance-related tasks.
Required Skills and Qualifications
  • 1+ years of experience in insurance administration or a similar support role.
  • Strong organizational and multitasking abilities, with proven project management skills.
