About the Role

We are looking for a motivated and detail-oriented Administrative and Finance Assistant/Manager to support and oversee our organization’s financial management and administrative operations. The role’s level of responsibility will be adjusted based on the candidate’s qualifications and experience. This position plays a key part in maintaining financial accuracy, ensuring compliance, and supporting smooth day-to-day office and operational functions.

Key Responsibilities
Financial Management & Accounting
  • Manage or assist with day-to-day financial operations, including bookkeeping, invoicing, accounts payable/receivable, and bank reconciliations.
  • Prepare and review financial reports, statements, and cash flow analyses.
  • Support or oversee budgeting, forecasting, and financial planning activities.
  • Maintain accurate documentation and filing of all financial transactions.
  • Maintain compliance with internal controls, financial policies, and relevant regulations.
  • Ensure adherence to financial policies, procedures, and reporting standards.
Administrative & Office Management
  • Oversee or assist with office administration, procurement, and logistics.
  • Manage and maintain contracts, licenses, and organizational records.
  • Ensure efficient office systems, supplies management, and asset control.
  • Support management with administrative reporting and correspondence.
Human Resources & Recruitment
  • Draft and update employment contracts, offer letters, and other HR-related documentation in compliance with local labor laws and company policies.
  • Manage the posting of job advertisements on various platforms and assist in coordinating recruitment processes (e.g., scheduling interviews, shortlisting candidates).
  • Support onboarding and orientation of new employees.
  • Maintain and update employee files, leave records, and HR databases.
  • Assist with payroll preparation and staff benefits administration.
  • Support employee engagement, training, and performance review processes.
Organizational Support
  • Contribute to policy development and process improvements for finance, HR, and administration.
  • Provide administrative and financial support for management and project reporting.
  • Uphold confidentiality and data protection standards in all organizational activities.
Qualifications
Education:
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Professional accounting qualification (CPA, ACCA, etc.) is an advantage for managerial-level candidates.
Experience:
  • For Assistant-level: 1–3 years of experience in finance, accounting, or administration.
  • For Manager-level: 5+ years of progressively responsible experience in finance and administration, with supervisory responsibilities preferred.
Skills & Competencies:
  • Strong organizational and multitasking abilities.
  • Proficiency in accounting software (e.g., Xero, or similar) and MS Office, especially Excel.
  • Solid understanding of accounting principles and administrative processes.
  • Excellent communication and interpersonal skills.
  • High integrity, attention to detail, and ability to work independently.
  • Strong problem-solving and analytical skills.
