A leading construction company in Singapore is looking for an Administrative Executive to maintain the site office, manage procurement, and assist in event planning. The role also involves capturing moments during events and managing reception duties. While prior experience in reception is preferred, training will be provided. Ideal candidates should be team players who can also work independently, with skills in photography and videography being an added advantage.
1. Site Office Maintenance:
Ensure the project site office is well maintained by coordinating with the Office staff /Maintenance Team for regular cleanliness, necessary repairs, including air conditioning, water taps, lighting fixtures, and other facilities.
2. Procurement Management:
Manage the procurement of miscellaneous items, such as toilet accessories and refreshments, to support the office environment and daily operations.
3. Event Planning and Coordination:
Assist in the planning, organization, and coordination of project-related events by preparing event proposals and schedules. Collaborate with suppliers and service providers to manage event orders, logistics, and on-site arrangements.
4. Event Documentation:
Capture photographs and videos during in-house events and on-site activities, followed by basic post-production editing to produce professional materials.
5. Vehicle and Driver Administration:
Manage vehicle and driver records, including fuel card and EV charging usage, maintenance and repair tracking, regular vehicle inspections. Support the Manager in driver arrangements, such as regular safety briefings (Toolbox Meetings), driver information summaries.
6. Reception and Guest Handling:
Assist with reception duties and guest arrangements, including meeting room setup and guest pickup/drop-off (self-driving). No prior experience required as training will be provided.
7. Ad Hoc Administrative Support:
Provide assistance with various administrative tasks as required, such as visitor clearance, coordination with shuttle bus providers, store management, and site office shift arrangements.
Experience in reception duties is preferred for the role of Administrative Executive in construction projects.
Familiarity with photography, videography, and basic post-production editing will be an added advantage.
