Primary Objectives
Responsible for supporting both workshop operations and HR-related functions, including workshop administrative works, training coordination, assets tracking and employee’s lifecycle management. This role also involves administrative support in budgeting, reporting and compliance matters.
Major Responsibilities
- Prepare and manage the annual budget for the assigned department.
- Manage the procurement and distribution of staff uniforms and safety shoes.
- Process purchase orders and invoices, and submit claims through systems.
- Apply for vocational licenses as required.
- Serve as the department’s Asset and IT coordinator to track the movement of company assets and equipment, consolidate asset submission and handle purchases as needed.
- Act as the department’s Training Coordinator by tracking training hours and registering staff for relevant training to ensure compliance with certification requirements.
- Plan and organize staff events as and when required.
- Maintain and update duty roster in Flexnet and ensure allowances are accurately updated monthly.
- Manage onboarding processes for new hires, including interns and part-timers.
- Monitor staff work pass expiries and initiate timely renewal, including scheduling of medical checkup.
- Monitor staff recontract and initiate timely yearly renewal, and, if applicable, raise ex-gratia payment; ensure appraisal form has been duly submitted and medical checkup completed before each staff renewal. Coordinate the annual audiometric medical checkup and ensure it is completed with the stipulated timeframe.
- Submit iReport to MOM within the stipulated timeframe and liaise with insurers to ensure timely processing of insurance claims, including other types of insurance claims.
- Support the offboarding process for departing staff (including interns and part-timers) to ensure accurate final payments.
- Respond to and manage staff queries effectively.
- Other duties as assigned by the supervisors.
Requirements
- Diploma in Human Resource or equivalent.
- At least 2 years of relevant experience in Human Resource and administrative duties.
- Familiar with Employment Act.
- Willing to learn and meticulous.
- Good communication and interpersonal skills as the role will require you to work with many stakeholders.
