Job summary

A leading engineering company in Singapore seeks an Administrative Coordinator to manage office facilities and logistics. Responsibilities include vehicle and transport administration, oversight of vendor contracts, travel arrangements, and inventory control. Responsibilities
  • Vehicle & Transport Administration – Manage road tax/insurance renewals, vehicle servicing, inspections, summons, and maintain vehicle register.

  • Office Facility & Vendor Management – Oversee contracts for printers, fire safety, alarm systems, pest control, forklift servicing, cleaning services, and other vendors.

  • Office Maintenance Supervision – Coordinate cleaning staff and manage office upkeep including flower/gift orders.

  • Communications & Mobile Management – Handle mobile line renewals, maintain phone registers, track usage, and update office extension lists.

  • Travel & Logistics Coordination – Arrange flights, hotels, and maintain travel documentation.

  • Procurement & Inventory Control – Prepare purchase requisitions, manage office supplies, monitor stock levels, and process invoices/petty cash.

  • Meetings & Documentation Support – Prepare meeting minutes, update Kaizen and Technical Contract Registers, and coordinate documentation with branches.
