About the Role
The Administrative Executive supports the smooth operation of the Counselling Service Centre by managing a wide range of frontline and administrative functions. This role works closely with a team of counsellors to facilitate counselling services, training seminars and talks, community outreach, and wellness programmes.

Key Responsibilities
Client & Case Management
- Attend to all enquiries via the centre’s main line and email.
- Assign new centre cases to counsellors based on Registration Forms, book appointments in SimplyBook (SB), and update the allocation file.
- Assign new Syariah Court (SYC) cases via the Partners’ Portal, create bookings in SB, and update the allocation file.
- Check and reconcile closed SYC cases against counsellors’ caseloads and ensure monthly invoicing to Syariah Court.
- Input and submit monthly statistical reports by the 5th of each month.
Administrative & Office Operations
- Purchase and maintain adequate office supplies and oversee storage.
- Monitor and maintain office assets, arrange repairs, and renew contracts as needed.
- Maintain an orderly e-filing system in and ensure collaterals are neatly stored for easy retrieval.
- Attend monthly team meetings and take minutes.
Event & Outreach Coordination
- Coordinate the smooth running of events, including those with corporate partners or community stakeholders.
- Work with the Community Engagement team to design flyers and brochures.
- Create and manage online registrations and payments for events and programmes.
Requirements
- Minimum a GCE ‘O’ Level certificate or Diploma in any discipline
- Minimum 2 years of relevant experience
- Conversant in English and any 2nd language
- Good communication and interpersonal skills
- A good team player, dynamic and self-motivated
- Keen on administration details and detail oriented
- Has a strong passion in reaching out and making a difference in the lives of the needy
