Qualifications

  • Reconcile bank statements and supplier/customer payments.
  • Maintain and update product, supplier, and customer databases.
  • Liaise with suppliers, forwarders, and customers to ensure smooth operations.
  • Support management with reports, expense tracking, and office coordination.

We are a Singapore-based trading company specializing in automotive spare parts and international logistics.
We are seeking a meticulous and responsible Admin Executive to manage day-to-day administrative and accounting operations — including import/export documentation, supplier coordination, and basic bookkeeping.

This position offers hands-on exposure to the full cycle of global trade, from order processing to shipping, payments, and reporting.

Key Responsibilities
  • Handle general administrative, data-entry, and filing duties

  • Manage import/export documentation and shipment coordination (invoice, packing list, BL)

  • Prepare invoices, payment vouchers, and simple financial reports

  • Reconcile bank statements and supplier/customer payments

  • Maintain and update product, supplier, and customer databases

  • Liaise with suppliers, forwarders, and customers to ensure smooth operations

  • Support management with reports, expense tracking, and office coordination

  • Perform other ad-hoc accounting or administrative tasks as required

Requirements
  • Minimum 2 years’ experience in an administrative, accounting, or trading support role

  • Good command of English and Mandarin (to liaise with Mandarin-speaking associates)

  • Proficient in Microsoft Excel (XLOOKUP, Pivot Tables), Word, and Outlook

  • Detail-oriented, organized, and able to work independently

  • Singaporean or Permanent Resident only (due to operational requirements)

  • SAP knowledge is an advantage
