A leading media company in Singapore is seeking an Administrative support specialist to assist their Legal department. This role involves managing schedules, documents, and various administrative duties effectively to help streamline operations. Qualifications

  • Minimum 2 years of experience in Admin, Support, Secretarial, or Legal Services.
  • Training on the job will be provided.
  • Experience in law firm secretarial work or document management is a plus.

Responsibilities

  • Manage calendars and schedule meetings for Legal and Risk teams.
  • Organize, file, and retrieve documents and records.
  • Handle expense claims, invoice processing, and general admin duties.
  • Assume additional responsibilities as assigned.

Job description
Purpose of the role

The role will include supporting both administration and management of the Legal department as well as assisting with the day-to-day operations of the Central Repository.

Scope of the role
Administration matters

Duties include supporting the Legal Counsels with general filings, managing meeting schedules, assisting in meeting set up, preparing budgets, and general administrative matters for the Legal and Risk & Compliance office. See further description below.

Central Repository matters

Reporting to VP, Legal. To perform day-to-day duties for the operations of the Central Repository. See further description below.

Key Responsibilities
  1. Departmental and Administrative Support: Manage calendars, schedule meetings, and coordinate appointments for the Legal and Risk teams.
  2. Document Management and Support: Organize, file and retrieve both physical and digital documents and records.
  3. Administrative support: Handle general administrative duties, including expense claims, invoice processing and expense reports. Cover duties for team members during absence.
  4. Other duties: Other administrative duties and responsibilities as assigned.

Experience
