Key Responsibilities
Administrative Support
  • Provide day-to-day administrative and operational support to all departments.
  • Manage filing systems, documentation, and correspondence accurately and efficiently.
  • Assist in scheduling meetings, preparing minutes, and tracking follow-up actions.
  • Support procurement activities, vendor coordination, and office maintenance.
  • Assist HR and operations functions, including attendance tracking, leave administration, and onboarding matters.
  • Support the organization of internal and external events, staff training sessions, and workshops.
Quality Assurance & Compliance
  • Assist in maintaining and updating QA policies, Standard Operating Procedures (SOPs), and process documentation.
  • Support compliance efforts with relevant accreditation and regulatory frameworks (e.g. CPE, EduTrust, ISO 9001).
  • Maintain QA records, audit documentation, and corrective/preventive action reports.
  • Assist in internal and external audit preparations by ensuring documentation and records are accurate and complete.
  • Conduct basic checks to ensure compliance with internal QA processes.
  • Help compile QA-related reports and statistics for management review.
  • Participate in continuous improvement initiatives to enhance service quality and operational efficiency.
Requirements
  • Diploma or equivalent qualification in Business Administration, Quality Management, or a related field.
  • At least 1–2 years of relevant working experience in administration or quality assurance, preferably within the education or training sector.
  • Familiarity with accreditation and regulatory frameworks such as EduTrust, Bizsafe, or equivalent is advantageous.
  • Good organizational and coordination skills with strong attention to detail.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Responsible, proactive, and able to maintain confidentiality.
  • Able to commence work immediately or within short notice.
