Job Description & Key Responsibilities:
Order Processing and Coordination:
- Receive and review shipping requests and orders, ensuring accuracy and completeness.
- Prepare and generate shipping documents, including packing slips, bills of lading, and shipping labels.
- Coordinate with warehouse and shipping teams to ensure timely and accurate order fulfillment.
Customer and Vendor Communication:
- Serve as a point of contact for customers and vendors regarding shipping inquiries, tracking, and delivery status.
- Respond promptly to customer and vendor inquiries via phone, email, or other communication channels.
- Address and resolve any shipping-related issues or discrepancies.
Data Entry and Record Keeping:
- Maintain accurate record of shipping activities, including order status, shipping dates, and tracking information.
- Enter shipping data into internal systems and databases, ensuring data integrity and accuracy.
- Prepare and file shipping reports and documentation as required.
Inventory Management:
- Assist with inventory management by monitoring stock levels and coordinating with the purchasing department for restocking.
- Conduct periodic inventory audits to ensure accuracy and address any discrepancies.
Administrative Support:
- Provide general administrative support including scheduling meetings, handling correspondence, and maintaining filing systems.
- Assist with other administrative tasks as needed to support the overall efficiency of the admin department.
Accounting Support:
- Assist day-to-day accounting task such as recording and invoicing.
- Assist with accounts payable (AP) and accounts receivable (AR) function.
Requirement :
- Education: Minimum ‘O’ Levels or equivalent.
- Experience: Minimum of 3 years of experience in an administrative and accounting role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Communication Skills: Excellent verbal and written communication skills, with a professional and customer-focused demeanor.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Attention to Detail: Keen attention to detail and accuracy in handling shipping documents and data entry.
- Problem-Solving: Ability to address and resolve issues and discrepancies in a timely manner.
- Teamwork: Ability to work collaboratively with other departments and team members.
