Overview:
The Admin Coordinator supports the daily administrative, operational, and project activities of the racking division. This role ensures smooth coordination between sales, design, project, and logistics teams, maintaining accurate documentation and efficient communication with customers, suppliers, and internal departments.
Key Responsibilities:
1. Administrative & Office Support
- Handle day-to-day administrative tasks such as emails, filing, data entry, and document control.
- Prepare quotations, invoices, delivery orders, and project-related documentation.
- Maintain and update customer and supplier databases.
- Manage office supplies, stationary, and basic procurement needs.
2. Project Coordination
- Assist Project Engineers and Sales Teams in preparing project schedules, delivery timelines, and installation arrangements.
- Coordinate with warehouse and logistics teams for stock availability, delivery, and site installation planning.
- Ensure all project documentation (drawings, site forms, completion reports) are properly recorded and filed.
- Follow up with customers on delivery, site readiness, and handover matters.
3. Communication & Liaison
- Act as a point of contact between internal departments (Sales, Design, Project, and Accounts).
- Liaise with customers, suppliers, and subcontractors for administrative updates and scheduling.
- Support management in preparing reports, meeting notes, and status updates.
4. Compliance & Safety Support
- Assist in maintaining safety documentation, permits, and risk assessment records for project sites.
- Ensure compliance with company procedures, ISO requirements, and safety standards.
5. General Support
- Support HR or management on company events, training coordination, and attendance tracking.
- Perform other ad-hoc administrative duties as assigned by management.
Requirements:
- Minimum Diploma or equivalent in Business Administration or related field.
- At least 2 years of administrative experience, preferably in construction, engineering, or racking industry.
- Proficient in Microsoft Office (Word, Excel, Outlook) and basic ERP/inventory systems.
- Strong organizational and communication skills.
- Able to multitask, prioritize, and work independently in a fast-paced environment.
Highlights:
Salary Range: S$2500 to $3500 (if experience in related field, negotiable)
Working Hour:
- Mon to Thu: 8am to 6pm
- Fri: 8am to 5pm
Working Day: 5 working days
