Job Summary

We are looking for a responsible and detail-oriented Admin Executive to support our day‑to‑day office operations and assist various business teams. This role is based in Singapore and requires someone who is hands‑on, comfortable using internal systems, and able to multi‑task in a fast‑paced environment.

Key Responsibilities
  • Provide day‑to‑day administrative support including office supplies, courier arrangement, document filing, and system data maintenance.
  • Coordinate company events and staff activities according to seasonal needs (e.g. festive celebrations), aligning with budget and brand guidelines.
  • Assist with office relocation projects, including packing coordination, vendor liaison, seating plans, and move‑day logistics.
  • Assist business teams with ordering from suppliers and following up on deliveries, invoices, and inventory.
  • Manage vendor relationships and liaise with third‑party service providers (e.g. pantry, cleaning, printing, etc.).
  • Track and update records of company fixed assets (e.g. laptops, monitors, furniture), including tagging, distribution, and return.
  • Support meeting scheduling, business travel arrangements, and internal communication logistics.
  • Assist in onboarding/offboarding administrative processes.
  • Participate in ad‑hoc tasks or cross‑functional projects as assigned.
Requirements
  • Diploma in any field.
  • More than 3 years of relevant experience in office administration or office management.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint); comfortable using internal systems and tools.
  • Strong attention to detail and follow‑through; reliable and hands‑on.
  • Good communication and coordination skills to work with vendors and internal teams.
  • Able to multitask in a fast‑paced environment.
  • Fluent in English; Mandarin is a plus (for liaising with internal teams or Chinese‑speaking vendors).
